
Candidates selected by decision of the University Erasmus+ Commission are issued a letter of selection by the Erasmus+ Institutional Coordination Office. The pre-mobility process for the selected staff member then begins.
Selected staff members are deemed to be on official leave for the duration of the mobility.
1-Letter of AcceptanceStudents who wish to apply to benefit from Erasmus+ Study Mobility must obtain a Letter of Acceptance showing that they have been nominated by the Erasmus Office.
The Letter of Acceptance, to be prepared on the institution's letterhead, must include the following information:
- The letter of acceptance must state that the student has been accepted by the relevant university.
- It should preferably be in English.
- It must include the start and end dates of the mobility. (Covering 1 academic semester)
- The Letter of Acceptance prepared by the relevant contact person at the institution where the Erasmus+ Study Mobility will take place must bear the date of issue, a signature and a seal.
Letters of acceptance sent as scanned copies are accepted by the Erasmus Office. However, some consulates require the original letter of acceptance for the visa application. For this reason, we advise students to ask the universities they have applied to send the original letter of acceptance by post.
2-Learning Agreement for Studies
The student and the Departmental Erasmus+ Coordinator prepare and sign a Learning Agreement for Studies specifying the courses the student will take at the host institution during the Erasmus+ Study Mobility and the courses that will be counted in their place at IZU.
- When the Learning Agreement is completed, the courses the student will take at the host institution during the mobility are entered in Table A together with their original names, their codes (if any) and their ECTS values.
- The courses the student has specified in Table A that will be recognised at IZU if passed are entered in Table B together with their codes, names and ECTS values.
- The total ECTS of the courses taken at the host institution must be 30 ECTS for one semester and 60 ECTS for a full academic year. These are the credit amounts a full-time student is required to take. However, in special circumstances arising from differences between students, the total credits of the courses taken may be more or less than 30 ECTS for one semester. Even so, this figure must be close to 30 ECTS (for example, 28 or 32 ECTS). In practice, learning agreements are sometimes prepared with figures very different from this for one semester (for example, 40 or 20 ECTS). Such practices are unacceptable.
- Once the document has been signed by the student and the departmental coordinator, it is sent to the host institution for signature.
- The Learning Agreement must be submitted to the Erasmus+ Institutional Coordination Office before the mobility, bearing the signatures of all three parties.
- Scanned signatures are accepted.
3-Academic Equivalence Form
The Academic Equivalence Form is a document concerning the recognition at our university of courses taken under Erasmus+.
It shows which courses at our university the courses the student will take at the host institution under the learning agreement will be considered equivalent to.
For this reason, the Academic Equivalence Form must be submitted to the Faculty Secretariat by the Departmental Erasmus+ Coordinator together with the Learning Agreement signed by all three parties.
4-Grant Letter (Visa Letter / Grant Letter)
The grant amount the student will receive is calculated by the Erasmus+ Institutional Coordination Office according to the destination country and the duration of stay. It is given to the participant in Turkish and English for use in their visa application.
- The type of activity,
- The duration of the activity,
- The host institution and country
- It states the total grant to be provided if the mobility is completed successfully. It is signed by the Erasmus+ Institutional Coordinator.
5-Euro Account Details Form and Euro Account Passbook
The grant provided to the participant is paid in EURO through a bank. The student must complete the Euro Account Details form and submit it to the Erasmus+ Institutional Coordination Office together with a photocopy of their Euro account passbook.
6-Travel Health Insurance
The student must hold travel health insurance covering the duration of the mobility.
The cover secured by travel insurance begins upon entry through the customs of the destination country within the policy's period of validity and ends upon entry through Turkish customs. If the insured person travels abroad again after re-entry, the cover restarts. For example, an insured person who takes out a 12-month policy may travel abroad as often as they wish during the year, and the cover is valid for a maximum of 6 weeks on each occasion. Standard Travel Policies provide cover for a maximum of 90-92 days and up to 30,000 EURO/USD, and the cover ends as soon as you enter the borders of the Republic of Türkiye.
The student is not covered from the 91st-93rd day onwards! It does not cover outpatient treatment!
7- Grant Agreement
Once the above documents have been submitted, the student signs a grant agreement prepared by the Erasmus Institutional Coordination Office. If the student is receiving a grant, the amount to be paid varies according to the destination country and the mobility period stated in the Letter of Acceptance. In cases such as refusing or failing to sign the agreement, the student's participation in the mobility is cancelled. Every eligible student, including "Zero Grant" students, must sign the Grant Agreement. A copy of the grant agreement is given to the participant
A student whose Erasmus+ Study Mobility application has been successful is required to complete their visa procedures before beginning the mobility.
The Erasmus+ Institutional Coordination Office is not responsible for the rejection of a visa application for any reason. Making visa and passport applications is entirely the student's responsibility. Since visa procedures differ from country to country, please consult the official consulate website of your destination country for the necessary information. As visa procedures may take a long time depending on the destination country, you are advised to submit your visa application 6-8 weeks before the mobility start date.
