ABOUT US
The Directorate of Correspondence Affairs was established under the Secretariat General in order to ensure that the dispatch and control of documents in correspondence conducted by the Rectorate is managed from a single centre. The Directorate is responsible for ensuring that all correspondence submitted to the Rectorate and the Secretariat General by the University's administrative units, external institutions and individuals is forwarded promptly, reliably and on time to the relevant units and organisations through the incoming and outgoing document flows and referrals of the EDMS (Electronic Document Management System), and for taking the necessary measures to this end; for drafting the meeting resolutions of the boards established within the University and the Rectorate and distributing these resolutions to the relevant units; and for filing and archiving documents in accordance with the coding system. In carrying out all the work and procedures within its field of duty, the unit aims to establish correspondence standards by closely following legislation and technology, to contribute to the development of the corporate identity and culture, and to plan, guide, coordinate and supervise procedures in line with the principles of efficiency.

OUR DUTIES / ACTIVITIES
To ensure that the workflow of all documents submitted to our University from within and outside the institution is carried out swiftly and efficiently through the Electronic Document Management System (EDMS).
To conduct the correspondence of the Rectorate and the Secretariat General as instructed by the Secretary General,
To prepare draft agendas for the meetings of the University Senate, the University Executive Board and the Board of Trustees as instructed by the Secretary General.
To draft and archive the resolutions adopted at the meetings of the University Senate, the University Executive Board and the Board of Trustees as instructed by the Secretary General.
To ensure that the resolutions adopted at the meetings of our University's Board of Trustees, Senate and Executive Board are promptly distributed to the units through the Electronic Document Management System (EDMS) for implementation.
To improve service quality by contributing to the efficient, orderly, coordinated and harmonious operation of our University's administrative and academic units in document workflows through the Electronic Document Management System (EDMS).
To ensure that the exchange of documents (official correspondence) with all public institutions and organisations is carried out swiftly, efficiently and securely through the REM (Registered Electronic Mail) system.
To provide support to our University's administrative and academic units on matters such as the archiving and preservation of official documents within the scope of the Council of Higher Education Archive Regulation.
To monitor, on behalf of our University, the Presidential Communication Centre (CIMER) system operated under the Presidency's Directorate of Communications.
